The Onboarding Planner is responsible for overseeing, executing and monitoring the Onboarding process within their assigned Region, this includes but is not limited to planning and facilitating regular and ad-hoc New Hire Orientation across the Region, developing and coordinating communications with new hires and stakeholders in the Region i.e. Onboarding activities, facilitating the timely and accurate completion of new hire paperwork (including I-9’s). The Onboarding Planner will be the face of the new hire’s first experience within the assigned Region and will ensure that new hires, hiring managers and relevant stakeholders are receive timely and clear communication, guidance etc. to ensure an effective and seamless onboarding experience for all involved.

This position has been segmented as 100% Remote Anywhere meaning the work is completed 100% remote anywhere in the U.S. except Hawaii or United States Territories.

Responsibilities:

  • Responsible for overseeing the end-to-end onboarding process for the assigned Region – This includes developing, maintaining and executing against an accurate schedule, conducting NHO sessions in a consistent manner, monitoring for completion and compliance and ensuring consistent, clear communications to all stakeholders (new hires, managers, relevant stakeholders).

  • Serves as a key resource by asserting leadership and subject matter expertise to develop the agenda, language, processes, and tools to help leaders more effectively onboard talent.

  • Manage logistics and communications of onboarding programs with new hires as well as relevant stakeholders, ensuring an effective, clear and concise experience for all involved.

  • Ensure new hires within assigned Region receives New Hire Orientation in a timely manner by planning, scheduling and executing multiple classes, conducted each week to cover shifts, time zones, job categories, etc. ensuring the completion of goals and an efficient overall program.

  • Plan, implement and execute an effective, compliant, timely and efficient onboarding experience while maintaining a sense of urgency to expedite their onboarding steps in the most effective manner.

  • Partner with Talent Acquisition to schedule the following week’s classes, conduct 30, 60, 90-day check-ins, and reporting, analyzing results and providing suggestions for process/program improvement.

  • Partner with functional leaders and subject-matter-experts to design comprehensive onboarding plans for critical functions/positions.

  • Play a key role in working with relevant team members to design and improve the new hire Orientation program, on an ongoing basis.

  • Lead and facilitate orientation and track all metrics of completion as well as those pertaining to compliance.

  • Partner with applicable teams including Recruiting, HR Business Partners, and regional/area leadership to proactively problem solve for new hire issues.

  • On a regular basis, plan and manage multiple sessions happening concurrently in multiple locales across the assigned Region.

  • Serve as a resource to new hires by providing tailored and ad-hoc guidance and suggestions, as well as additional resources (training aids, manuals etc)

  • Creates and facilitates the development of internal and external onboarding promotional and preparation materials, as needed.

  • Maintain an excellent customer service attitude when communicating with candidates and internal business partners.

  • Research current best practices and refine processes and tools as required to ensure strategic learning approaches are applied to programs.

  • Perform other duties and responsibilities, as assigned.

Qualifications:

Education/Training:

  • Bachelor's degree or equivalent plus 2 years relevant corporate experience, Human Resources, project management, Learning and development related roles or other relevant work experience required.

  • Demonstrated track record of taking initiative, asserting ownership and working independently while handling multiple priorities

  • Must posses a demonstrated ability to effectively manage high-impact/high-visibility projects and initiatives with multiple complex facets on an ongoing basis

  • Demonstrated ability to effectively communicate and interact with a wide cross section of people of varying levels across the organization

  • Experience working in a fast paced, service oriented, highly matrixed environment

  • Spanish speaking preferred
